Contracts

What it is for

Contracts generates sale, purchase, lease and deposit contracts for your cars, pre-filled from the car and lead data. You can also upload your own templates and fill them in the same way.

Access

  • Menu: Documents › Contracts (/dashboard/documents/contracts).
  • Requires the Documents module on your team.

Steps

Generate a contract

  1. Open Documents › Contracts. All contracts lists every contract generated, across every car, in Active and Archived tabs.
  2. Click Generate new contract. The progress bar shows the steps: Select car › Select lead › Select contract type › Car & seller details › Buyer › Purchase terms › Review › Generate & download.
  3. Select car, then Select lead (the buyer).
  4. Select contract type: Purchase, Lease, Deposit or Letter of intent, or one of your own templates.
  5. Car & seller details (seller screen): check the car and the seller. For a lease, this step is Car & lessor.
  6. Buyer (buyer screen): check the buyer's identity and address. For a lease, this step is Lessee.
  7. Purchase terms (purchase screen): price, payment, transfer and declarations. The step name follows the contract type: Transfer & declarations, Lease terms, Deposit amount or Intention terms.
  8. Review, then Generate & download the PDF.

Offer a CPS warranty

In the paperwork, the CPS warranty card (Propose a guarantee contract to the customer) opens the CPS warranty flow: configure the CPS integration, pick a car, then generate the warranty. Click Open CPS warranty.

Use your own templates (custom)

  1. Click My templates to open My contract templates.
  2. Upload: drop a PDF or Word file, give it a Template name, and wait for the AI analysis… (usually less than a minute).
  3. Review: click Review fields to check the detected fields, rename them, Add field, hide or delete them, then Done.
  4. Fill: click Use on a template, pick the car and lead; the fields are pre-filled from the car data. Click Download contract.
  5. Manage templates with Search a template, sort (Newest, Name (A-Z), Number of fields), Preview, Download or Archive.

Good to know

  • Template files: PDF, Word (.docx, .doc), ODT, RTF or TXT, 15 MB maximum.
  • Use markers such as [name], ____ or PDF form fields. Avoid scanned PDFs: the text must be selectable.
  • On a very long template, only the first part is analyzed; check the fields near the end.
  • A template shows Ready, To review or Failed.
  • The standard templates offered are the ones commonly used in your country.
